- Booking Party
- The Booking Party refers to the individual or couple responsible for the hire of the venue. The Booking Party must be in attendance at the event and accepts all responsibility for the guests, monies payable and adherence to all FarmStyle Weddings Bullsbrook conditions, policies and staff instructions.
- Booking and Payments Process
- If the application to hold a wedding is accepted, a tentative booking is made (and held for 14 days) and a quote, Booking Form and invoice is issued.
- The booking is confirmed once the Booking Form has been signed and returned by the Booking Party and the deposit has been paid. If the deposit has not been received within 14 days, the tentative dates will be released to be booked by other parties.
- Deposits are non-refundable.
- A balance invoice will be issued 30 days prior to the event.
- Full payment is due 21 days prior to the event. Venue hire will not be permitted to commence unless full payment has been received.
- Should there be any variance to or additional costs incurred during the event, a final account will be issued immediately following. Payment of final the account is required within seven days.
- Cancellation
- The Booking Party is liable for full payment of the selected venue hire package if less than 60 days written notice of cancellation is given.
- Catering:
- If a caterer hired or designated by the Booking Party require access to the kitchen facility, the Booking Party is liable for any damages caused or loss incurred.
- It is the responsibility of the Booking Party to ensure that said caterers leave the kitchen facility in a clean and orderly state.
- It is the Booking Party’s responsibility to ensure catering personnel do not discard ice or boiling water onto the lawns.
- Cahoots Adventure Camp accepts no responsibility or liability for food prepared, served, or supplied by third-party caterers using the camp kitchen or other facilities on the property.
- Third Party Activity Service Providers
- It is the responsibility of the Booking Party to ensure that all third parties hired to provide a service make appointments with camp management prior to visiting the venue.
- All third-party service providers must consult with camp management prior to carrying out any activities on the site. Any damages or losses incurred by third-party service providers remain the responsibility of the Booking Party.
- Swimming Pool:
- Access to the swimming pool must be arranged with the camp management.
- Guests use the pool at their own risk and the responsibility for pool use and compliance to all rules lies with the Booking Party.
- Restricted Access
- Venue hire is limited to the lawn areas and buildings booked by the Booking Party. Event guests are not permitted access to any other areas of the property.
- Emergency Evacuation Procedures
- It is the Booking Party’s responsibility to ensure Emergency Evacuation Procedures are provided to guests at the commencement of the event.
- Damage
- Damage to Cahoots Adventure Camp property is at the Booking Party’s expense and will be added to the final account.
Other damage fees includes:
– Broken Window $60.00 per window
– Damage to wall $300.00 per wall
– Graffiti $60.00 per hour for removal
– Willful damage to equipment 100 % of replacement cost
– Discharge of Fire Extinguisher 100% of replacement cost
- Cleaning
- An additional cleaning fee may be charged where heavy soiling or excessive litter occurs at the venue.
Other cleaning fees include:
– Used sheets left on beds $30.00 per hut (Does not apply to The Lodge)
– Kitchen and Dining Hall $60.00 per hour as required
- Alcohol Service
- Alcohol must be supplied and served by a licensed vendor in accordance with the Liquor Control Act 1988.
- Noise Policy
- Amplified sound is permitted at the venue between 9.00 am and 11.00 pm.
- Amplified sound may not exceed standard emission levels as prescribed under the WA Environmental Protection Act. Cahoots Adventure Camp Management retain full discretion over allowable noise levels.
- Smoking
- For the comfort and safety of guests, Cahoots Adventure Camp is a smoke-free venue. A designated smoking area is provided. Smoking is not permitted anywhere else on the property. If a smoking area is required in closer proximity to the event, please enquire with camp management.
- Lost Property
- Any property left on the premises will be held for a period of 30 days, after which it will be disposed of.
- Every effort will be made by to return specialised equipment or valuable items to the Booking Party, however, Cahoots Adventure Camp and its partner, FarmStyle Weddings Bullsbrook, take no responsibility for items left on the property.
- First Aid
- The Booking Party is responsible for providing First Aid to their guests.
- First Aid facilities are provided for guest use and are marked as such.
- There is a defibrillator mounted in the First Aid Office.
- The access code to the office is 1650.
- Pets
- Pets are permitted for the duration of the ceremony only and must be tethered at all times.
Disclaimers:
- Whilst care will be taken, no responsibility or liability is accepted by Cahoots Adventure Camp for injury, loss of life or property, damage to property or harm to guests while at Cahoots Adventure Camp, in transit to or from Cahoots Adventure Camp, or while involved in recreational activities.
- Cahoots Adventure Camp take no responsibility or liability for injury or fatality as a result of swimming pool use. It is the responsibility of the Booking Party to ensure that pool rules are followed. Children must be supervised by a parent or legal guardian at all times.
- Whilst care will be taken, no responsibility or liability is accepted by Cahoots Adventure Camp for injury, loss of life or harm to guests caused by allergic reaction or toxicity reaction.
- Cahoots Adventure Camp accepts no responsibility for injury, illness, loss of life, damage or loss of property that may occur in the instance of guests participating in an activity operated by a third party, or for equipment and property delivered to or stored on the property as a part of the event.
